<p><strong>Rental Unit Key Management</strong></p>
<p>In <span id="more-97"></span>profession of property management managing house keys can be very confusing if a good system isn’t used.  Below are the two types of key management.</p>

<p><strong>In office key management</strong></p>
<p>Purchase a lockable key cabinet to store keys in your office.  Keep at least three sets of keys.  One set needs to stay in your office for the use of you and your employees/vendors.  The other two sets can be given to the tenants.  Make sure the property owner keeps a set as well. </p>
<p> </p>
<p>In office keys should always be kept in a locked cabinet.  When writing the address on the key tags never write the entire address on the tag.  Should the key get lost or stolen, you won’t need to worry about uninvited guests entering the unit.  For example, the address 1234 Fake St. Apt A should be written on the tag as either 1234 A or Fake St A.  This will ensure that no the property will be recognizable to someone not associated with your office.</p>
<p> </p>
<p>As your property management business grows larger and employs more office staff you will want to incorporate a key checkout system.  Have one employee (perhaps the receptionist) be responsible for the checking out of keys.  The checkout person will write the employee’s name and the date/time they took the key.  This system will ensure that keys that go missing will be easily traced back to the last person who had the key. </p>

<p><strong>Field key management</strong></p>
<p>Keys outside the office are best controlled by the use of contractor key boxes.  These key boxes have a combination lock and a shackle so the lock can be hung from a doorknob or locked onto something like a metal post.  For the sake of convenience set up an easy to follow key box combination system so everyone in the office knows the combination to each lock.  You can set all the combination numbers to the last four digits of your company phone number or set the combination to be the first four numbers in the property’s address. </p>

<p>  <H3>Help answer the question about property management</H3>What are my options regarding maintenance if my property management won&#039;t do it?<br />Every time something needs done in my apartment, it takes weeks to be fixed. Therefore, by the time something actually IS fixed.. 2-3 other things need attention. My sink knob hasn&#039;t been repaired and it has been a year.</p>
<p>Anyway, I&#039;ve called property management 6 times within the last week to no avail. Lighting fixture in 4 rooms are not working.</p>

Today&#8217;s real estate market is constantly evolving and changing, and as this dynamic streetscape alters, behind the scenes is the invaluable and skilled player: the property manager.</p>
<p>          <span id="more-93"></span>  One of the fastest-growing careers of the next decade, employment of property, real estate, and community association managers is projected to increase by 15 percent by 2016, according to the U.S. Department of Labor. As the mortgage market compels many Americans to rent instead of purchase homes, and baby boomers move into housing and healthcare units, property management professionals will be in high demand. There will also be opportunities with real estate development companies, commercial property corporations, and government agencies that manage public buildings. If you see a well-run, profitable establishment with satisfied tenants, chances are there is a talented property manager handling the day-to-day logistics of that community.</p>
<p>            One successful California property management developer, Andrew Gross, vice president at Thomas Safran and Associates, an affordable housing development firm, says his profession has taught him not to be afraid &#8220;to dream big.&#8221; &#8220;Business development is a challenging process, and a developer must possess the creative know-how to put out fires and overcome hurdles.&#8221; Gross is a member of the Advisory Board at Fremont College,  a premiere degree and career college in Southern California.  He says that developing affordable housing has been personally fulfilling, allowing him to change entire areas and &#8220;see people truly enjoy their new situations.&#8221;</p>
<p>Property management holds the most potential for people like Gross who enjoy blending knowledge of real estate with customer service and sales skills. Being a property manager is like being the mayor of a small city-you manage revenues, make important decisions about management, oversee contractors, oversee residents, and more. &#8220;Attention to detail is crucial,&#8221; says Gross, who constantly finds himself drawing parallels between work and life in his daily challenges.</p>
<p>            Property managers need to have a broad knowledge of business, finance, accounting, and real estate, as well as practical skills such as math, writing, computer, and oral communication. A business administration degree with a concentration in property management will equip you with knowledge of financial and expense control, customer service and marketing, leasing basics, and more. Various professional and trade associations also allow you to expand your knowledge of specialized subjects, such as insurance and risk management, personnel management, and reserve funding. Many fields overlap, says Gross, such as the constant intertwining of property management and real estate.</p>
<p>            Your career opportunities may abound as a property manager-you can work for real estate agents and brokers, lessors of real estate, or any other real estate company. Just as an example, top U.S. and trade associations, such as the Building Owners and Managers Association and the National Association of Industrial and Office Properties all offer job postings and networking opportunities. Booming overseas expansions are also opening up international property management positions. At Thomas Safran and Associates, which owns and manages over 3,200 units of affordable rental housing in the Greater Los Angeles area, Gross says that the company is looking to hire skilled professionals who are able to communicate with clients.</p>

The commercial and residential real estate industry is attracting talented young professionals with a strong educational background that equips them with a diverse skill set, talent, and experience. As a property manager, you can make a positive, sustainable impact on the environment and the economy, build lifelong relationships, and make a difference in the lives of hundreds of people. <p> Five Considerations of Hiring Property Managers</p>
<p>1. Management Fee <br />The property owner needs to understand the purpose of the management fee (typically 10%). The percentage management fee pays for the property manager&#8217;s time. The 10% allows someone else to help shoulder the burden of owning the property. The owner is paying for someone else to field 2:00 am calls. It is important to remember that the property manager cannot take all o<span id="more-87"></span>f the responsibility and burden off the owner. In the end, it is the <em>owner&#8217;s</em> property and the <em>owner&#8217;s</em> responsibility.</p>
<p>2. Interview <br />When hiring any professional, an interview will be conducted to hire the correct candidate and then the professional is left to alone to do their job. Working with a property manager is no different. During the interview process ask good questions; require forthright answers, hire the right candidate, and then get out of their way. If an owner is a high micromanager then they should hire a certain type property manager (see Property Manager categories below).</p>
<p>3. Personality fit <br />The owner&#8217;s personality has to fit the property manager&#8217;s systems and procedures. Sometimes owners will have difficulty with a property managers systems and procedures. If a property management company sets office hours between 9-5 Monday through Friday and owner wants an update on their property @ 6:00pm on a Friday evening they will have to wait until 9:00 am Monday. This may drive some owners crazy who want to be very involved in the day-to-day management. If this is the case they probably should hire a manager who will be more responsive to the owner&#8217;s needs.</p>
<p>4. Communication <br />Communication is a two-way street. It is not only the property manager&#8217;s responsibility to communicate effectively. Owners should understand they have to lead the property manager in how they expect the manager to manage the property.</p>
<p>Here&#8217;s an example: My wife is a director of marketing for a company. She has to be the leader in guiding and directing the advertising agency as to what she wants for the project. She cannot expect the advertising agency to try to guess what she wants in the project.</p>
<p>If your property manager is slow in returning your phone calls explain to them the level of communication you expect. In return, ask them how much communication they expect from you.</p>
<p>Many property managers would rather only communicate with you on as needed basis. Much more than this level of communication from the owner is overkill.</p>
<p>5. Property Manager Categories <br />While Property managers fall into three categories, the size of the property management company is neither better nor worse than the others. Choosing the size of property manager has more to do with the level of owner pampering and paperwork provided rather than a property manager being good or bad.</p>
<p>Small 1-50 units <br />Property managers in the small category are usually unlicensed with no training in property management. These managers will have more time for the property owner. This type of property manager is usually not much more than a handyman who will show and rent apartments. If a property owner wants to be hands on and needs to be updated on every specific action of the property this is the manager they should hire.</p>
<p>Pros: <br />These property managers have the time to cuddle and coddle the owner. They will provide the owner with receipts for repairs and nothing else in documentation.</p>
<p>Cons: <br />These managers will have no systems in place to and will not be able to negotiate vendor discounts. No 1099s and no accounting documents prepared for your accountant.</p>
<p>Medium 50-150 units</p>
<p>Pros: <br />These managers have more of a professional approach with the use of some systems. They have the purchase power to negotiate some vendor discounts.</p>
<p>Cons: <br />The paperwork may be enough for the owner to understand the numbers, but may not be enough information to submit to an accountant or to the IRS.</p>
<p>Large 150+</p>

<p>Cons: <br />No time with the owner. Communication is very professional, but impersonal, done mostly through email and voicemail. Large management companies offer very little owner pampering and handholding. The downside: even owners who have been in real estate for many years still need some positive reinforcement once in a while.</p>

<p> Questions to ask yourself:</p>
<p>• How many property managers do I want to interview? While the attached form allows you to compare 3, I recently interviewed 5 for my new property. A little exhausting to say the least!</p>
<p>• How will I find out who to interview? I find personal referrals from other property managers to be the best method.</p>
<p>• What are the most important areas to me in finding a property manager. Do you want the <span id="more-98"></span>cheapest fees or the highest rent or is the service provided more important?</p>
<p>To follow is quite a long list of questions you may wish to ask a potential property manager. Have a read through it before you go to interview an agent and identify which questions are most important to you. After the questions is a form you can fill in while interviewing the agents. It’s best to start from the far right column so that you can fold that over out of sight when you start interviewing the next agent. </p>
<p>Structure:</p>
<p>• How is the property management department structured?</p>
<p>• Who will be your point of contact?</p>
<p>• How many people will you have to deal with on an ongoing basis?</p>
<p>• What is their contingency plan for when your point of contact is ill or on leave?</p>
<p>• What is the ratio of staff to properties managed?</p>
<p>Maintenance:</p>
<p>• What is their procedure?</p>
<p>• Do they contact the property own for all maintenance?</p>
<p>• Do they charge a fee to conduct maintenance?</p>
<p>• What percentages of their tradespeople are licensed?</p>
<p>• Can the owner nominate their own tradespeople?</p>
<p>• How are large bills paid (directly by the owner or through the rental receipts)?</p>
<p>Lease renewals:</p>
<p>It is very important to choose a company that handles their lease renewals promptly and efficiently ensuring your tenant always remains on a current lease. </p>
<p>• What is their procedure?</p>
<p>• Do they perform rental increases only upon lease renewal or during the period as well?</p>
<p>• Does the company charge to renew an existing lease (ie: where they don’t need to find a new tenant)</p>
<p>Rental arrears (tenants who are behind in rental payments):</p>
<p>• What is their procedure? (ie: how often do they check arrears, how many days behind does a tenant have to be before their procedure starts and what does that procedure consist of)</p>
<p>• At what point does the owner of the property get contacted to notify them their tenants are in arrears?</p>
<p>Inspections:</p>
<p>• How often is the property routinely inspected?</p>
<p>• Who conducts these inspections? (ie: is it your point of contact or someone else?)</p>
<p>• What points are noted on the inspection report to the owner?</p>
<p>• It is appropriate to view or request a sample of one of these reports.</p>
<p>Fees:</p>
<p>• What are all of the costs they charge (get written confirmation).</p>
<p>• Charges typically include: management fee (usually a percentage charged against all rent received), letting fee (usually a percentage or number of week’s rent charged up front when a new tenant is found), advertising (internet, newspaper etc), sundry or postage (usually a nominal fee per month), lease renewal (often charged when a lease is renewed as opposed to a new tenant being found). </p>
<p>• Will the owner be charged more than one letting fee in a year if there are more than one set of tenants (if the letting fee is based on a percentage of annual rent this can be costly).</p>
<p>• Are these fees negotiable (ie: for management of more than one property).</p>
<p>• It is appropriate to view or request a sample of the authority you would sign if you were to give them your property to manage. </p>
<p>Payments:</p>
<p>• By what method does the landlord get paid (direct debit to a bank account is the most common and convenient method).</p>
<p>• How often does the property owner get paid (weekly, fortnightly, monthly).</p>
<p>• What payment methods are available to tenants.</p>
<p>Statements:</p>
<p>• Does the statement get emailed, mailed or both to the owner</p>
<p>• It is appropriate to view or request a sample of one of these statements</p>
<p>Tenant screening:</p>
<p>• How is this performed and what does the tenant need to provide</p>
<p>• It is appropriate to view or request a sample of one of these statements</p>
<p>Advertising</p>
<p>• How are vacant properties marketed to the public (commonly – internet including large property portals and the real estate agent’s own website, newspaper, window display, in house database of tenants currently looking)</p>
<p>Estimated rental projection:</p>
<p>• What does the agent think the property is worth?</p>
<p>• What other comparable rentals on their books can they show you so that you know that their figure is realistic and achievable? </p>
<p>Other:</p>
<p>• Any other questions you think to ask</p>
<p>• Comments on their presentation materials etc</p>
<p>• Did they provide testimonials? Can they give you contact details for 5 of their current landlords who you could query about their service. </p>
<p>Preparation / Follow Up:</p>
<p>• What did the agent do before and after the presentation to stand out. </p>
<p>Overall rating:</p>
<p>• A section to rank a number of property managers</p>

<p>  <H3>Help answer the question about property management</H3>Is it normal for property management to withhold tenant names from landlord?<br />I received an anonymous letter from someone in my tri-plex stating that a tenant is playing loud music. That the place smells like pot,  and that even the cops were called once because of domestic violence.  And that my property management company hasn&#039;t helped them at all.</p>
<p>I would really like to talk to my tenants directly about the resolving conflicts.  But my property management company will not give me their names or phone numbers.  </p>
<p>I thinks it&#039;s because they don&#039;t want the tenants reveal how bad the company is.</p>
